Coordinator of Meetings and Education

The Gerontological Society of America (GSA), the nation's oldest and largest interdisciplinary organization devoted to research, education, and practice in the field of aging is seeking an experienced and professional Meetings and Education Coordinator.

The Meetings Department is responsible for managing The Gerontological Society of America's Annual Meeting, continuing education program, exhibits, and other tasks associated with the Annual Meeting.  The Meetings Department also manages the Association of Gerontology in Higher Education's Annual Meeting.

The Meetings and Education Coordinator is charged with providing support to all elements of the GSA meeting process.  This position will handle special projects to foster organizational program development and provide general administrative support. Duties include but are not limited to: 

  • Support the Director of Meetings and Education in all aspects of the planning, construction, and management of both The GSA Annual Scientific Meeting and the AGHE Annual Leadership Conference.

  • Assist in the abstract submission, review, and scheduling process for both the GSA and AGHE annual meetings.

  • Assist in the development of meeting specifications, banquet event orders, and all other logistical consideration.
  •  
  • Support the Director of Meetings and Education with the management of the continuing education program, including development and coordination of applications, forms, certificates and any other follow-ups required.

  • Serve as the primary meetings department customer service agent. Responsibility includes answering the meetings department phone, checking the general meetings e-mail in-boxes, and responding as necessary.

  • Input registration information as and maintain permanent records for such.
  •  
  • Participate in the development and review of all meeting-related collateral.
  •  
  • Assist Director in production of RFP's, reviewing of proposals, and managing vendor contracts.
  •  
  • Assist with the development of all departmental budgets.  Responsible for adhering to budgetary considerations in all decision making.

  • Interface with meeting vendors and hospitality community representatives as required.
  •  
  • Provide administrative support to other areas of the Meetings and Education department as necessary. Activities include typing correspondence, filing, data entry, photocopying, faxing, assisting with mailings, etc.

Qualifications:  

The ideal candidate will have a minimum of 1 - 2 years administrative support experience preferably with a scientific society or association. S/he must have impeccable attention to detail, excellent communication skills, both written and oral and the ability to manage multiple projects while paying special attention to deadlines. This individual should be highly driven and results-oriented while possessing excellent time management skills with the ability to be flexible under pressure and be a self-starter. Solid knowledge and comfort of computer technology and software including Microsoft Word, PowerPoint, Excel, and database management is key. Candidates should be able to exercise initiative and judgment, and work independently as well as in a team environment. Position requires that the person be able to travel to at least 1-2 times per year. College degree highly preferred.
